Office Coordinator

Full-time

Hours: 8:30 AM - 5:00 PM

Hourly Wage: $15.16

Do you want to work in a dynamic work environment where no day is ever the same as the next? In this role, your tasks will be diversified and you will be supporting our mission. Support management with administrative duties and essential functions needed to operate the region.

  • Assist in preparation and maintenance of contracts and contract proposals. Tracks due dates and contacts vendors with service needs.

  • Coordinates office equipment and outside supply ordering for office and all applicable programs

  • Tracks FY capital spending per program/region and initiates capital item approval process when a purchase is required.

  • Researches furnishings, makes purchases and tracks spending for start-up projects.

  • Assists with/places orders as requested/approved within budget using guidelines of procurement system.

  • Writes check requests for items paid outside of AP system.

  • Assists with regional and program meetings, training, and events.

  • May assist with onboarding requirements, orientation, training and maintaining employee records.

  • Assists employees with expense reimbursements and company card activation.

  • Assist with specialized invoices prior to sending to the APSSC and develop and maintain records and reports needed within the region.

  • Coordinate and communicate with fleet management company for approval of all repairs and coordination of delivery of vehicles.

  • Regional liaison with communication with fleet management company regarding completion of internal accident reports, chosen vendor and follow through to ensure that repairs are done.

    Qualifications :

  • Associates degree in related field

  • 2-3 years of experience in administrative support or an equivalent combination of education and experience

  • Requires experience of office systems/computer functions

  • Strong attention to detail and organizational skills

  • Ability to multi-task and meet deadlines

  • Effective communication skills to manage relationships

  • A reliable, responsible attitude and a compassionate approach
